Achillefs Ntranos MD, P.C., doing business as Achilles Neurology Clinic ("we", "us", "our"), operates achillesneurology.com. This policy describes what this website collects, how we use it, who receives it and the choices you have. It is a notice, not a contract, and it does not ask for your consent; when we need your permission, for example to text you or to publish a review, we ask for it separately.
Health information you give us to request or receive care is protected by HIPAA and the California Confidentiality of Medical Information Act. Our Notice of Privacy Practices explains how we use and disclose it and governs wherever the two documents overlap.
What we collect and why
- Information you give us. When you request an appointment, send a message, refer a patient, submit a review or answer a page survey, we collect what you enter. That is typically your name, date of birth, phone number and email address, how you heard about us, and the visit type, office and time you prefer. We use it to respond to you, to schedule, provide and bill for your care, and to send appointment confirmations and reminders by the means you choose.
- Website measurement. Fathom Analytics counts pages viewed, clicks, device type and country. Google Analytics and Google Ads conversion measurement run only if you allow them. See Analytics and cookies.
- Ad click ids and campaign codes on the link you arrived from, such as gclid and utm values. They stay in your browser and reach us only inside an encrypted appointment request, so we can count which campaigns lead to appointments.
- Server logs: IP address, time of request, browser type and error details, used to keep the website and our systems secure.
We use personal information from this website for these purposes and to meet our legal obligations, and for nothing else. We do not build advertising profiles.
Health information
We use and disclose health information only as HIPAA, California law and our Notice of Privacy Practices allow. Nothing you type into a form is sent to an analytics provider, and Google measurement never runs on the appointment, referral or review pages.
Analytics and cookies
Fathom Analytics runs on our public pages, including the appointment pages. It sets no cookies, receives none of the details you enter, and keeps no record of you as an individual.
Google Analytics and Google Ads conversion measurement run only after you allow them in the cookie notice or at Your privacy choices. If you allow them, Google sets cookies, receives your IP address, device and browser details and the pages you view, and processes that information under its own terms. When you click our Book button after arriving from one of our ads, Google Ads is told that the click reached our booking page; it is never told whether you requested an appointment. Advertising personalization is off, and we do not run remarketing.
You can change your choice at any time at Your privacy choices, which is linked from every page; declining stops Google measurement in the browser you are using. If your browser sends a Global Privacy Control or Do Not Track signal, we treat it as a decline.
Google Maps is embedded on our home, contact and multiple sclerosis clinic pages. When a map loads, Google may set its own cookies under its terms. The written address and a directions link appear beside each map.
Who receives it
- Our staff, who need it to respond to you and to provide care.
- Our practice management, health record, telehealth and communications providers, which handle health information for us under business associate agreements.
- The service providers that host our website and systems, in the United States.
- Fathom Analytics, and Google if you allow Google measurement or a map loads, as described above.
- Authorities and others when the law requires it, for example in response to a court order, a lawful government request or a public health reporting duty, and in an emergency to protect someone's safety.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. Your privacy choices is our "Do Not Sell or Share My Personal Information" control for your browser.
Your rights and requests
You may ask us what personal information this website has collected about you, ask us to correct or delete it, and switch Google measurement off at any time. We must keep medical and billing records for the period the law requires, and requests about your medical record follow our Notice of Privacy Practices. To make a request, email info@achillesneurology.com, call (310) 774-7025 or write to the address below. We verify your identity before releasing information, and we will not treat you differently for making a request.
Security
We use reasonable administrative, technical and physical safeguards to protect personal information. Everything you submit through this website is encrypted before it leaves your browser and can be read only by our office, and access is limited to staff who need it. No method of transmission over the internet or of electronic storage is completely secure. Standard email and text messages are not encrypted end to end; tell us if you prefer another way to reach us. If a breach affects your information, we will notify you and the authorities as HIPAA and California law require.
Children
This website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. We provide care to adults only.
Calls, email and texts
We may contact you by phone, email or text message about appointments, care coordination, results, billing and service updates. Calls with our office may be recorded and transcribed for quality and training. We say so at the start of the call; if you would rather not be recorded, tell us.
Text messages
Agreeing to text messages is required to send our booking or contact form, because we text about your request when we cannot reach you by phone. Achilles Neurology Clinic will text the number you gave about appointment reminders, scheduling, care coordination, and billing and insurance matters. We do not send marketing texts unless you separately agree in writing. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out and HELP for help, or tell us by email, phone or in person. Mobile information is never shared with third parties or affiliates for marketing or promotional purposes.
How long we keep it
Medical and billing records are kept for the period California law requires. Appointment requests, messages and server logs are kept only as long as needed to respond to you, schedule your visit and keep the website secure. Website measurement is kept as totals. Ad click ids stay in your browser until they expire, and your cookie choice until you change it. You may ask us to delete personal information we are not required to keep.
Links to other websites
Our website links to other sites, including our patient portal and reference sources. Their privacy practices are their own, and we are not responsible for them.
Changes to this policy
We may update this policy from time to time. The date at the top shows the current version, and we describe material changes here. We will not use personal information we already hold in a materially different way without asking you first.
